Annie Malone Children and Family Services has an exciting opportunity for an Administrative Assistant!

The Administrative Assistant position supports the residential services program. The position reports to the Director of Residential Services. The Administrative Assistant will provide high-level administrative support to the Director of Residential. You will manage business related tasks such as creating reports, taking minutes, and other organizational tasks. The Administrative Assistant works independently performing a wide range of complex and confidential administrative and clerical support duties. Requires excellent communication and interpersonal skills and ability to provide information and service to a wide range of internal and external contacts. Requires knowledge of the agency and departmental policies and procedures. Includes responsibility for executive office management as appropriate.


  • Responsible for answering incoming calls,
  • Completing client related paperwork
  • Processing incoming and outgoing mail
  • General support to the team on tasks, projects, organization, planning and meetings as directed by the Director of Residential Services
  • Provides all necessary clerical support to help ensure services are responsive to clients, families, funding and accreditations sources
  • Helps with the distribution of HIPAA regulated faxes
  • Completing maintenance reports
  • Submit monthly billing to finance
  • Support services which may include copying, and faxing
  • Responsible to ensure milieu environment maintains cleaned
  • Effective written and effective communication skills
  • Track and order supplies, receive and distribute incoming supplies, which may include medications, office and/or cleaning supplies
  • Follow all agency policies and procedures to ensure compliance
  • Effectively manage time by prioritizing work assignments and maintaining a thorough knowledge of the agency's computer system
  • Maintain a professional and courteous demeanor that facilitates a cooperative working relationship with all consumers, families, agency employees, visitors, and professions internal to and outside of the agency
  • Must be able to take minutes, keep track of meeting minutes and distribute as necessary
  • The Residential Services Administrative Assistant performs all other duties as assigned for the betterment of the program

Education and Experience:

  • High school diploma or General Education Diploma (GED) required; Associates or bachelor's degree preferred
  • 1 to 3 years of prior successful experience working in an administrative support required; residential facility administrative support strongly preferred
  • Ability to enter and retrieve computerized data rapidly and accurately
  • Strong proficiency in the usage of database software, internet software, e-mail and Microsoft Office Suite
  • Must have a current valid Driver's License
  • Must have current automobile insurance
  • Must be authorized to work in the United States
